About Project
MexInc Consultants helps foreign businesses expand into Mexico — forming legal entities, staying compliant on tax and imports, hiring local teams, and getting products certified for the Mexican market. Lumestea Innovex Private Limited partnered with MexInc to design and build a complete three-part digital ecosystem: a public website (WordPress) that explains their services and captures leads, a Client Portal where customers complete complex regulatory paperwork end-to-end, and an Admin Portal where MexInc's internal team reviews, approves, and manages every submission.
Together, the three panels turn a traditionally email-and-PDF-driven consulting process into a single connected platform — for both the client expanding into Mexico and the MexInc team guiding them there.
Problem Statement
Cross-border expansion into Mexico runs on dense, multi-step legal and regulatory processes — company incorporation, RFC tax registration, COFEPRIS product compliance, bank account applications, import/export logistics. Traditionally, all of it moves through email threads, scattered PDFs, and spreadsheets. That created real problems on both sides:
- Clients had no visibility into where their incorporation, import, or compliance application actually stood
- Every service line had different requirements — shareholder structures, HS codes, product ingredient declarations, signatory KYC documents — with no shared system flexible enough to handle all of them
- MexInc's team had no central console to track, assign, review, or approve submissions across multiple compliance categories at once
- Documents were scattered, with no consistent way to verify what had been received, what was pending, and what was missing
- Consultations and payments lived outside the workflow, adding friction between "interested visitor" and "onboarded client"

- Replace manual, email-based intake with structured, guided digital forms for each service line
- Give clients real-time visibility into every submission's status
- Give MexInc's team a centralized review console for approvals, rejections, and audit history
- Support document upload, storage, and verification for compliance-heavy processes
- Build a public website that clearly explains MexInc's service categories and funnels visitors into a guided consultation and onboarding flow
- Support role-based access (Client, Admin, Reviewer) so staff can be scoped to specific forms and responsibilities
- Integrate consultation booking and secure payments directly into the client journey
Discover and Research

Traditionally, all of it moves through email threads, scattered PDFs, and spreadsheets. That created real problems on both sides:
- Workflow mapping across Company Formation, Logistics & Importation, Dietary Supplements/COFEPRIS compliance, and Bank Account Applications — each with its own legal and documentation requirements
- Regulatory requirement analysis — understanding exactly what data and documents each process legally needs (shareholder/signatory KYC, HS codes and customs documents, ingredient and labeling declarations, bank KYC and signatory verification)
- Role mapping across three distinct user types: public visitors, onboarded clients, and internal staff (Admin/Reviewer)
- Service catalog alignment — reviewing MexInc's published website categories (Company Formation, Import & Export, Human Resources, Tax & Accounting, Product Compliance) to keep the portal structure consistent with how clients already understand MexInc's services
Strategy and Solution
The system was structured around three connected panels, each doing a distinct job:
- Public Website (WordPress) Explains MexInc's services, mission, and process, and funnels visitors into a virtual consultation system — the entry point to becoming a client.
- Client Portal (Next.js / Node.js) Turns every compliance-heavy service into its own guided, multi-step form — Company Formation, Logistics & Importation, Dietary Supplements/COFEPRIS, and Bank Account Application — each with save-as-draft support, conditional logic, and document upload.
- Admin Portal (Next.js / Node.js) Gives MexInc's team a single review queue for every submission, with filtering, assignment, approve/reject actions with reason codes, full audit logging, user & role management, and a file center covering all uploaded documents.
- Shared foundation Documents route through AWS S3 for secure storage; Redis keeps dashboards, sessions, and review-queue data fast as volume grows; Stripe handles service payments; and consultation bookings surface directly inside the admin operations view.
Design Process
The MexInc platform was shaped through an iterative, user-centered design process across all three panels:
- Discover — regulatory workflow mapping across four service lines, plus role mapping for clients, admins, and reviewers
- Define & Information Architecture — structuring the client side (Dashboard, Forms, Documents, Notifications, Profile) and the admin side (Dashboard, Submission Review, User & Role Management, Notifications, Audit & Logs, File Center, Modules, Bookings) separately, but consistently
- Wireframing — multi-step form flows, document upload patterns, and the admin approve/reject workflow
- Visual Design — one consistent design system across the public site, client portal, and admin portal, unified under a single brand identity
- Prototyping — interactive Figma prototypes covering full client form journeys and admin review workflows
- Review & Iteration — refining conditional form logic (e.g. COFEPRIS ingredient checks, shareholder type branching) and streamlining the admin submission-review experience
- Developer Handoff — structured specs delivered for the Next.js/Node.js/MongoDB build, with AWS S3, Redis, Stripe, and Calendly integration points clearly defined
Final Solution
MexInc’s new platform shipped as three connected panels:
- Public Website A WordPress site organized around MexInc's four core service pillars — Company Formation, Import & Export, Human Resources, and Tax & Accounting/Product Compliance — with a clear "How it works" process (online platform → document execution via remote notary → procedure completion → RFC registration) and a direct path into the virtual consultation system.
- Client Portal A self-service dashboard showing form status, documents uploaded, and notifications at a glance, with four guided compliance workflows: Company Formation (entity info, shareholders, directors, signatories), Logistics & Importation (product info, shipping details, compliance documents), Dietary Supplements/COFEPRIS (ingredients, presentation, required lab reports), and Bank Account Application (KYC, signatory verification, AI-assisted signature checks). A Document Manager and notification/email preferences round out the client experience.
- Admin Portal An operations console with submission-review queues, per-submission approve/reject actions with reason codes, user & role management (Client / Admin / Reviewer), a full audit log of every action taken on the platform, a cross-submission file center, a content/module manager, and consultation booking management.
